Business meeting catering in Mumbai: what to brief and budget
Board lunches, daily programmes and offsites in published bands: from ₹180 a head drop-off, from ₹850 plated. What a good catering brief contains.

A meeting table is not a small party
Catering a business meeting is a different discipline from catering an event, and most of the difference is timing. An annual day has a two-hour service window and a forgiving audience. A board lunch has twenty minutes between the end of one agenda item and the start of the next, a fixed number of seats, and no room for a late delivery. Kravvia has run this format across eleven Mumbai areas since 1999.
Four briefs recur:
- Daily office lunch programme. Standing weekday delivery, minimum 25 plates a day, monthly billing.
- Board and client lunch. Plated service, small headcount, fixed slot.
- Leadership offsite. Multi-day, breakfast through dinner, dietary sheets honoured across the whole run.
- Working session catering. Half-day and full-day meetings with a working lunch and a tea break.
The published bands
Kravvia quotes bands, not a single headline number, because a plated board lunch and a drop-off two-curry meal are different products.
- Two-curry meal (dal, sabzi, rice, roti), drop-off: from ₹180 per person, in insulated containers on a fixed window.
- Full three-course meal: from ₹280 per person. Starter, dal, two curries, rice, bread, dessert.
- Plated board service: from ₹850 per guest. Client lunches and board meetings, briefed separately on the same account.
- Event-format catering: from ₹650 per guest for a four-course spread.
- Strict Jain service: from ₹850 per guest.
The gap between ₹180 and ₹850 is not a quality gap. It is a service gap: containers and your own pantry staff at one end, plated covers and captains at the other.
The daily programme is the one worth getting right
A standing weekday lunch is the only corporate catering format that compounds. It runs on a minimum of 25 plates a day, a five-day rotation with a regional Friday, and monthly billing. Kravvia's standard structure is a two-week trial before the programme converts to a monthly account, which gives a workplace time to find out what its own people actually eat.
Eight cuisines rotate through the week: Punjabi, Jain, Gujarati, Maharashtrian, Thai, Italian, Chinese and Mexican, all fully vegetarian. Jain plates run alongside the standard rotation daily rather than as a separate order.
Dietary spec belongs in the document, not the phone call
Kravvia has run a fully isolated Jain kitchen since 2012: separate prep, separate utensils, strict Jain spec with no roots rather than a no-onion-no-garlic approximation. For recurring meeting catering, the right move is to fix the dietary sheet once, at account setup, and let it govern every delivery afterward. Renegotiating spec per meeting is how mistakes reach the table.
The same applies to offsites. A three-day leadership programme is twelve service moments, and a spec that holds on day one has to hold on day three when the schedule has already slipped twice.
What a good brief contains
- Headcount, and whether it is fixed or a range.
- The slot: not the meeting start time, the time food must be on the table.
- Format: drop-off, buffet, or plated.
- Dietary spec in writing, Jain and otherwise.
- Building access: service lift, security clearance, pantry availability.
- For recurring programmes, the billing contact and the start date.
Building access is the item most often left out and the one most likely to cost a delivery its window. Mumbai office towers vary widely on service-lift protocol, and a delivery held at reception for fifteen minutes is a cold lunch.
Where the pantry range fits
Not every meeting justifies catering. For late sessions, small teams and offices without a pantry, Kravvia's ready-to-eat range covers 13 vegetarian SKUs at ₹160 to ₹200 a pouch, with a 12-month ambient shelf life and no cold chain required. It ships pan-India, which makes it the practical option for distributed teams and satellite offices. All of it is produced to Kravvia's specification in FSSAI-licensed partner kitchens.

FAQ
What does business meeting catering cost per person in Mumbai?
From ₹180 per person for a drop-off two-curry meal and from ₹280 for a full three-course meal. Plated board service starts from ₹850 per guest. Event-format catering starts from ₹650 per guest.
Is there a minimum order for office lunch catering?
Twenty-five plates a day for a standing weekday programme. Board lunches and plated service are briefed separately and are not held to the same minimum.
How much notice does a board lunch need?
Five working days is the standard lead time. In the October to February festive and wedding peak it extends to four weeks, so recurring accounts should lock that period early.
Can a daily programme include Jain plates?
Yes. Jain plates run alongside the standard rotation every day, cooked in a fully isolated Jain kitchen that has been separate since 2012, to strict Jain spec with no roots.
How is a recurring programme billed?
Monthly, after a two-week trial period. The trial exists so a workplace can adjust the rotation before committing to an account.
Do you cater multi-day leadership offsites?
Yes, breakfast through dinner, with the dietary spec sheet honoured across the full run rather than renegotiated per service.
